Personal Assistant
Duties and Responsibilities:
Effective management of the diaries
Prepare and/or type reports, presentations and other correspondence, as requested, ensuring that all correspondence is dealt with in a professional manner;
Answer and screen telephone calls in a professional manner and attend to queries timely;
Book conference, training and other meetings rooms as required for both internal and external meetings;
Arrange and confirm all catering & stationery requirements for meetings for the people team;
Book & confirm all travel arrangements, ensuring that visas and all other travel requirements are met and assist the people team when needed;
Work effectively with other Executive assistants, Personal Assistants and or Secretaries across EY.
Understand the people services environment and keep updated on the changes and challenges facing the profession.
Specifications (Skills and Knowledge Required):
Strong organisational and interpersonal skills;
Event management experience
Good written and spoken English language skills
Advanced knowledge of Word, PowerPoint and Excel
Efficient administration and co-ordination capabilities;
Ability to prioritise and use own initiative;
Able to multi-task effectively and pay attention to detail;
Ability to work overtime if necessary;
Proactive
Ability to maintain confidence, be discrete and exercise good judgment;
Ability to serve a work load with conflicting demands and work under pressure;
Reliable and ability to take ownership for work done.
Be able to demonstrate a professional approach at all times
Qualifications
A tertiary qualification would be an advantage
5+ years relevant experience
It would be desirable if the incumbent has worked in a professional services / financial services environment.
