Duties:
Assisting with the planning, organizing and/or coordinating of all regional events (will involve groups of up to 5 000 people)
Compile “request for proposal” documents for event related services and establish sound relationship with event suppliers
Compile staff and distributor rooming lists and transportation schedules, venue and catering riders. Category budget management and reconciliation of each.
Compile internal event communications including playbooks, contact lists and on-site event binders
Create and maintain event support documentation i.e. contact lists, agendas and on-site working manuals for the events team
Create and maintain an on-line “events” folder including supplier information, key contacts, vendor information, event statistics and information
Assist with venue research and site selection, preparation of PowerPoint presentation documents and detailed research on support information i.e.: flight costs, frequency and timings, climate, visa requirements, currency etc. for inclusion in presentations
Research new and exciting ideas for upcoming events, including attending events exhibitions with team colleagues to keep on top of what’s on-trend and innovative in the events industry.
Provide support with internal and Distributor/Member facing events calls including comprehensive call notes
Sourcing of giveaways and deliverables for events
Placing product orders for each event and coordinating shipping, distribution on site and return
Supporting the events team with TAF, travel arrangements, flight bookings, transfers and hotel accommodations
Accept and push members events live
Any adhoc requirements within the department as deemed necessary by the Sales and Marketing Manager in order to support daily operations
Requirements:
Matric essential (English and Mathematics up to Grade 12)
Relevant tertiary qualification in Business advantageous
A minimum of 2 years events management experience a must (international events)
Flexibility in terms of working hours (some evening/weekend work will be required)
Must be able to travel occasionally
Excellent administrative and organizational skills
Excellent negotiation skills
Proven budget management experience
Excellent written and verbal communication skills (English)
Advanced MS Office skills
Effective communicator and good interpersonal skills
Attention to detail
Ability to multi-task and prioritise effectively
Must be able to work independently and as part of a team
