We currently seek to employ a Half Day Receptionist on a fixed term contract who will responsible for providing reception and administration support to the Cape Town Head Office

Specification
KEY RESPONSIBILITIES
Switchboard
answer switchboard, screen and direct calls
take and relay messages & provide information to callers
Reception
greet and direct visitors
deal with queries
ensure knowledge of staff movements in and out of the offices
organize meetings via calendar invites
tidy and maintain the reception area
liaise with tea ladies to arrange beverages for visitors and for meetings in the upstairs meeting rooms
Courier Services
manage incoming and outgoing courier services via the set internal procedure
manage email correspondence in this regard
update the spreadsheet register in this regard
Administrative support
communicate verbally and in writing to answer inquiries and provide information
send and receive faxes
Assist Facilities Supervisor/ Receptionist with arranging flower delivers, as per internal procedure
attend to any other responsibilities as required
Housekeeping
Assist with facilitating the internal shopping requirements and ensure kitchens are adequately stocked
Liaise with housekeeping staff to ensure effective services across the company
Requirements
PRE-REQUISITES
Matric certificate
Resident in the proximity of the Cape Town offices (Westlake)
Own reliable transport preferred (Working hours Mon- Thurs 12:00 to 17:00) and Fridays ( 11:00- 16:00)
May be required to work full day from time to time
At least two years equivalent experience, gained in a corporate environment
knowledge of administrative and clerical procedures
knowledge of computers and relevant software applications
knowledge of customer service principles and practices
TECHNICAL COMPETENCIES REQUIRED
Effective PC skills, including strong working knowledge of Outlook, Word, Excel, PowerPoint
Accurate and fast typing skills
Switchboard skills
Front line reception skills
Proficient in spelling, punctuation, grammar and other English language skills
