Award winning Hotel & Wedding Venue in Muldersdrif requires an experienced Wedding, Events and Sales Coodinator that has operations experience as well as coordinatinng activities, as they will be assisting the Banqueting Manager

Must have an eye for detail.

Role & Responsibility

Operations

Check Venue set ups as per function sheets
Ensure all client request have been met
Make sure flowers are fresh, or replace
Ensure refreshment and meals are ready on time and as Client request
Assist with Meal service
Sales

To market and promote the Hotel from within by taking participative interest in the guests and their requests, constantly raising the level of service.
To initiate new sales by using Hotel marketing material.
Weekly cold canvasing and scheduling meetings for the Sales Manager.
Act as first point of contact for in-house sales support.
Handle all general enquiries.
Monitor trends within the industry and make suggestions how these could be implemented.
Prospecting

Consolidating lists of potential clients and following through
Following up on all referrals
Follow ups

Retaining clients by following up on guest expectations , issues, suggestions and all customer feedback
Event coordinating

To function as customer service representatives to customers.
To partner with clients to ensure a successful event and excellent customer experience.
Effective and efficient communication with customers.
Contribute to customer satisfaction by ensuring accuracy timely orders (pricing; discounts; query resolution; inform customers of delays and arrange alternative solutions.
Collaborate with other departments and ensure that sales and marketing activities are integrated (customer references).
Managing and controlling bookings, including due dates for confirmation, deposits, room lists in liaison with the Front Office.
Action amendments to function sheets
Managing of confirmed group bookings, creating working document on the booking liaising with any third party, attending pre-com meetings, ensuring that all information is forwarded to the correct departments and on time.
Balancing of all payments paid.
