Description
We are looking for a hardworking, self-driven and enthusiastic individual to fill the Assistant Branch Coordinator position in NOSA centurion office, Qualifications / Skills
Matric (Grade 12) (A degree or diploma will be advantageous but not required)
Minimum of 2 yearsβ experience in administrative work
MS Office including excel
Ability to work independently with a variety of duties
Ability to process large volumes of work
Excellent organizational skills & attention to detail
Excellent interpersonal communication skills and ability to communicate with a diverse population
Client service orientated
Excellent people skills
Able to work under pressure and multi-task

Responsibilities
Communication and liaison:
Assist the Regional Administrator in liaison and co-ordination of administrative activities in the centurion office
Co β ordinate daily / weekly reports for Regional Administrators submission to TOP Management
Establish good relationships with clients, suppliers and internal staff
Assist walk in clients with course details, bookings, payments and confirmation of bookings
Sign in students on day of course
To resolve and log queries efficiently and within a professional timeframe and to ensure client satisfaction
Monitor the hand out of certificates and let student sign for it. Indicate date on relevant system
Office administration:
Oversee preparation classroom for training
Oversee the supplier invoices of all offices.
Oversee that attendance registers are completed according to company policy.
Oversee that ID/SETA pack for trainers are prepared
Manage the process of: Scan / upload signed attendance register & SETA documentation to head office / OMS
Keep track of office packs until certificate is ready for collection
Manage all service providers relating to consumables for office use.
Buy and keep stock of office supplies
Report and assisting:
Scan / upload proof of payments to head office / OMS (Operational Management System)
Send card machine transactions to Finance & attach to OMS
Ensure that assessments are assessed and moderated on time
Scan / upload results to head office / OMS
Upload completed attendance register on OMS
Ensure NOSA office comply with national standards and ensure office maintenance are carried out when required.
Prepare and send monthly credit card reconciliations to head office
Maintain and submit documents to head office when required
Prepare relevant reports requested by Administrator head office
Review of sales invoiced vs students attended
Assist Sales reps with CRM quotes when out of the office
Ensure packs are 100% for QMS & SETA Audits
Assist with other SETA requirements when requested by head office
Ensure project review checklist is 100% completed
Perform scanning, photocopying, and filing of documents
Report any Non-conformances on any quality issues to the Administrator
Oversee supplier audits once a year ( caterers, stationary and all other suppliers)
Perform all creditor reconciliations and send invoices to Finance after approved
Disseminated changes in policies and procedures done by the head office to the branch staff
